An absence affects skills, continuity and several routes at once. A short playbook supports selective redistribution without restarting the whole day.
Choose disruptions that matter
Start with sickness, vehicle failure, urgent care demand, road closure and delayed appointment. For each scenario describe the trigger, coordinator, required information and escalation point. A one-page playbook usable during a shift is more valuable than a complete policy nobody opens.
Use the same decision order
Check safety and time-critical care first, then skills and continuity, route impact next, and only then convenience or distance. Record who can approve exceptions. This order speeds action and later explains why a slightly longer route or external capacity was responsible.
Update the playbook after use
Hold a short review: what information was missing, where was work duplicated and which communication arrived late? Adjust data fields, alerts or authority and test again. Focus the review on the system, not the person who made a reasonable decision under pressure.
